The Position:
The Front Desk Administrator Upper School provides essential administrative and operational support and serves as the primary point of contact for students, parents, staff, and visitors. This role ensures a welcoming, secure, and efficiently run front office and provides daily backup support for staff duties as needed.
Key Responsibilities:
- Welcome and assist students, parents, staff, visitors, and vendors, ensuring compliance with sign-in and sign-out security procedures.
- Maintain a professional, organized, and welcoming front desk environment.
- Answer incoming calls promptly and courteously, provide information, redirect inquiries, and take accurate messages.
- Manage daily safe arrival and attendance procedures, maintaining accurate records and timely reporting of absences and late arrivals.
- Greet and support supply teachers, providing necessary information and assistance.
- Receive, accept, and distribute deliveries and shipments.
- Assist in the planning and execution of school events and special activities.
- Manage lunch service logistics, including deliveries, payments, and issue resolution.
- Oversee and coordinate external facility rentals.
- Act as liaison for the Parents’ Association.
- Provide basic first aid and maintain an adequately stocked first aid area.
- Maintain the Lost and Found and coordinate the return of items to students.
- Provide front desk and administrative support during the summer, including summer school programs and preparation for the new school year.
- Act as daily backup support for staff duties as required.
Skills and Qualifications:
- Post Secondary diploma in Office Administration or equivalent
- Proficiency in Microsoft Office Suite and standard office equipment.
- Previous experience in administrative, clerical, or front-office roles, preferably in an educational setting.
- Strong verbal and written communication skills, organizational ability, and attention to detail.
- Ability to manage multiple tasks, exercise sound judgment, and maintain confidentiality.
- Empathy and professionalism in handling inquiries and concerns.
- Ability to work collaboratively as part of a multidisciplinary team in a school environment.
